General questions

What is the REISSWOLF digital inbox?

It is a secure solution to enable you to digitally access your paper-based mail at any location and at any time in the future. We digitise your paper-based mail and make it available to you using our own secure cloud solution. The data is stored on database servers in German data centres and under optimum protection. In addition, all physical mail is automatically archived and, depending on the service package booked, ultimately destroyed in conformity with data protection requirements.

What happens if my letter contains several smaller letters?

The envelope with your identification, which may contain other letters, is digitised as the largest unit.  Any other letters enclosed are also opened and then scanned together with their envelopes, before being provided as a document.

What formats can the mail items have?

Whether it’s a postcard or a large letter, we can digitise anything up to A3 size without a problem.  

How are documents scanned that have been stapled, paperclipped or bound together?

It depends on the document, but always to the best of our abilities.  We smooth out the original, remove paper clips and staples, and then digitise everything.  We do not separate documents which have been bound or secured with eyelets, as these require particular safeguarding.  In this case, you receive a scan of the cover sheet with a special note that the following pages are bound.  You can then request the original document, if required. 

Can REISSWOLF digitise bound books for me?

Naturally, we are happy to digitise your books.  However, this does not fall under the standard services offered as part of the digital inbox.  Please contact us for an individual quote.

How are file names assigned to the PDF documents in my digital inbox?

The documents are given names containing the date and a sequential number.  

Are the scanned documents searchable?

Yes, they are.  You can search all text content of your received mail within the app, as you receive the mail from us in the form of fully text-indexed, searchable PDF documents.

How quickly will my mail be scanned and provided to me?

All mail which arrives by 12 noon will be provided to you in the digital inbox on the same day. All mail received after midday will be delivered digitally the following day.

How will I be notified when there is new mail in my digital inbox?

You will receive an email informing you of new mail.  If you use our REISSWOLF dok. suite. app, you will also be informed of incoming mail via push notification.

How can I receive special pieces of mail which cannot be digitised?

We will provide you with a photograph of the non-scannable contents – such as a storage medium – like a normal digital letter, and you can then decide whether you wish to receive the originals.

How are letters marked as confidential or personal handled?

We will not open letters marked as confidential or personal.  These letters will be shown to you as photographs in the digital inbox, allowing you to request the originals be sent on to you.

Redirection order

Is the REISSWOLF address a valid physical mailing address?

As you are not physically present at this address, the REISSWOLF address is not a valid physical mailing address for your contacts, business partners, contract partners or customers.  

What address is my mail forwarded to?

As soon as you order a digital inbox from us, we will set up a redirection order for you and the mail will be automatically forwarded after approximately 5–10 days. You will receive the forwarding address directly from Deutsche Post as confirmation of the redirection order.

How is the redirection order set up?

All data required for the redirection order can be entered directly during the order process.  After the order has been concluded, we transmit the data to Deutsche Post and set the redirection order up for you.

How long does it take to set up the redirection order?

We will set up the redirection order immediately after you place your order.  However, please note that Deutsche Post usually requires 5–10 days to set up the redirection order, and your mail can only be forwarded and digitised after this period.

How long does the redirection order run for?

You can conclude the forwarding order for 12 months.

Will the redirection order be automatically extended after the term expires?

Yes, if you do not cancel your contract, we will automatically extend the redirection order 14 days before the contract ends, to ensure that your mail can be seamlessly collected and digitised. We then charge you for the cost of this extension every 12 months.

Can I change the address of my redirection order?

If you move or otherwise need to change address, you must end the existing redirection order and apply for a new redirection order.  It is not possible for Deutsche Post to change the address of an existing redirection order. The costs incurred for the new redirection order will be passed on to you.

What happens to the redirection order if I cancel my contract?

You do not need to do anything.  We will cancel the redirection order with Deutsche Post punctually when your contract ends and you will receive your mail at your usual address again.

Will parcels also be forwarded by the redirection order?

No, parcels are excluded from the redirection order and will continue to be sent to your usual postal address.

Will postal delivery orders be redirected?

No, this is not possible. If you are temporarily absent, postal delivery orders will not be redirected.  However, in some exceptional cases with old redirection orders, this may continue to be the case.

Handling of original documents

How do you ensure that any original documents I request are excluded from the redirection order?

We send any originals you request as a parcel via our shipping partner.  They therefore do not fall under the redirection order and reach you reliably.

How can I request originals when required?

In the digital inbox, there are two ways to request originals when required:  express delivery or grouped delivery.

Express delivery allows you to request delivery of individual letters.  We will then provide these to you at short notice.

Grouped delivery allows you to mark several letters for delivery over the course of a month.  When you select this option, the order for the letters marked is automatically completed by our system at the end of the month.  All the letters required are then delivered to you at once.

Can I request originals to be delivered to other countries?

It is possible in principle to send originals to other countries, although the postage costs incurred are higher than for delivery within Germany.

When will the originals be destroyed? Do you destroy the originals automatically?

The documents will be automatically destroyed by us in line with data protection laws at the end of the contractually agreed storage time.

How quickly will I receive the mail items I require as originals?

If you request individual mail items as originals and your order reaches us by 12 noon at the latest on Monday to Thursday, the originals will be delivered to you the following working day.  If your order is received after 12 noon or on a Friday, the originals will be delivered in two working days.

How long will the original documents be stored for?

The storage duration depends on the rate you book.  After the contractually agreed storage time has expired, all original letters will be destroyed in line with data protection laws.

What happens to the stored originals after the contract ends?

All originals will be securely stored by us until the chosen storage period expires – without additional cost to you.  And if you do need another original, you can still request this for a fee.  You can even continue to access all stored and digitised letters after your contract has ended and download them or request the originals.  Only after the storage period has expired will the documents be destroyed in line with data protection laws.

What are the system requirements?

A current web browser is all you need to access the REISSWOLF digital inbox.  Alternatively, you can access your inbox via the REISSWOLF dok. suite. app, at any time and from any location. Simply download the app for your Android or iOS device from the relevant app store.  

Can I download and share mail items?

Yes, of course, you can easily forward and process all PDF documents.  You can forward a digital letter via email or via our dok. suite. app with popular services such as WhatsApp, iMessage, Google Drive, OneDrive, etc.

Rates and contract

What payment options are there?

You can pay by invoice.

What is the minimum contractual commitment?

The minimum contract term depends on the selected rate.  You can find more information on this by visiting our website. 

How are the provided services invoiced?

At agreed invoicing intervals, you will receive a clear, transparent invoice via email for the basic rate booked.  This unit price includes all service building blocks, i.e. collection, digitisation, archiving and eventual shredding of your mail.  Only additional services used, such as additional letters or requests for originals will be separately invoiced to you on a monthly basis.

Security and data protection

Is it possible to enter into an arrangement for order processing?

In accordance with GDPR Article 28, we are happy to offer you the option of simply concluding such an arrangement digitally. This is mandatory for businesses, and possible but not required for private individuals.

Is the digitisation of my mail secure?

Yes, of course.
REISSWOLF’s years of data protection expertise naturally applies to all our services, from digitisation and archiving to shredding of originals. In addition, our partner, with whom we have been working for many years, holds all relevant certifications necessary to guarantee at all times compliance with the highest quality standards during processing:

Is my mail securely stored?

Your mail will be stored in REISSWOLF’s high-security archives.  With the help of safety glass, mirrored glass, truck locks for loading and unloading, a fenced-off site and multi-step access controls, as well as shelf sprinkler systems and video surveillance, we ensure maximum security for your mail.

Where are my digital letters stored?

Your digital letters are stored exclusively in German data centres compliant with the strictest of security measures as well as with European and German data protection regulations.

Who can view my mail?

In spite of the use of the most modern technology, manual operations are sometimes necessary.  For this reason, a data protection expert like our company is the right choice.  Our employees are particularly trustworthy and have been working with highly sensitive data for decades.  All employees are specially trained, receive regular further training and are, of course, bound by data protection confidentiality requirements.
