SENVION GmbH (formerly REpower) is among the leading manufacturers of multi-megawatt class wind energy systems. Among other things, this success is based on a unique market and customer-oriented corporate concept. In addition to the development, production and sale of technologically sophisticated, reliable onshore and offshore wind turbines, SENVION offers intelligent, professional services, such as comprehensive maintenance and service packages.
Due to its presence at these key stages of the value chain, SENVION has extensive expertise in all aspects of the wind energy industry. Today, the SENVION name stands for a successful company that not only impresses its clientele on environmental concerns, but, above all, on economic concerns.
The client, SENVION, wanted to introduce an interdepartmental enterprise content management system (ECM). This ECM should be suitable for all types of documents, but primarily for the lifetime records of wind turbines. These records hold information about maintenance and monitoring.
More than 300 employees continuously use these files and need quick access to them. In addition, ongoing, error-free operation of the system depends on clear documentation. The aim was to securely digitise the 6,022 folders holding the lifetime records, including their 3,204,229 pages of documentation. The existing Microsoft Office applications were to be seamlessly integrated into the ECM.
Before the project began, discussions were held about system requirements, network integration, user administration, storage and backup management.
The DMS ELOprofessional, with its easy-to-structure clipboard user interface, provides optimal management of corporate documents. Existing archives were processed on an ad hoc basis and old files were stored externally. The results of the processing were returned to SENVION on digital storage media. The data was transferred using the interfaces specified for import into the ECM.
Within a very short time, these documents were digitally available to employees. This means that all the information and documents can be accessed on a system-wide and multi-site basis.
Before digitisation, it regularly took employees an enormous amount of time spent engaged in tedious searches for important documents. Now documents can be stored directly in the system and are available to all users in full at all times. Any documents can be found quickly using a full-text search and individual work steps are now easy to organise and manage. All told, it has made for real added value in terms of business management.
The on-site user training has met with highly positive approval and technical implementation has gone very smoothly. File security is guaranteed and a brief bit of information from the customer is all it takes to quickly and unbureaucratically arrange for the storage of additional files.
In future, the ECM will also be used for other types of documents (business documents, personnel files, letters, drawings, etc.). The aim is for the ECM’s flexible, user-friendly work processes to be made available to as many employees and departments as possible.
