Claus Goedecke GmbH is a traditional craft business, now in its fourth generation. The company specialises in complete solutions for bathroom design, installation and repair of heating systems as well as metal construction in the private and industrial sectors.

The company employs a total of 22 employees between its two locations in Hamburg and Undeloh.

The task

Lack of space, time-consuming searches and sometimes even duplicate folders meant to ensure access to files on the construction site as well as in the office plagued the day-to-day work of the Claus Goedecke company.

This insufficiently flexible way of working was reason enough for the customer to seek alternatives to physical digitisation. When an external IT company advised the customer to switch to a paperless office, it was no longer a question of whether a new solution was needed, but which one.

The customer was already aware that REISSWOLF International not only archived and destroyed data, but also offered a digital data management solution with REISSWOLF f.i.t. This quickly resulted in an initial, no-obligations appointment during which REISSWOLF presented its plan for a digital archive with document management capabilities, impressing the customer as a tool for optimisation and administration.

The implementation

The customer wanted to be able to maintain its invoices, goods receipts and construction documents digitally in future so that the employees on construction sites would also have access to all the relevant data at all times.

E-collaboration easily facilitates decentralised work no matter where you are. Even the customer’s requirement to have access to all files in emergencies, even when they were on vacation, was met.

It was ultimately agreed that all invoices, goods receipts and construction site documentation would be digitally recorded at the start of the project. For the time being, personnel records and old files that had already been archived would be left out. The documents that had been digitised were then destroyed.

All office employees now work with REISSWOLF f.i.t. and can access, archive and manage data at the same time. According to the customer’s wishes, special workflows were set up to automatically control work processes in order to deal with invoices and goods receipts.

Some of the employees’ initial reservations regarding REISSWOLF f.i.t. changed after just a week, with all employees now agreeing that the system is “really brilliant”. On-site training also contributed to rapid adoption of the tool.

Catharina Bischoff, responsible for marketing and consulting at Claus Goedecke, praises REISSWOLF f.i.t. as a highly flexible and easy-to-use tool. “You can find everything and the way communication is documented is great,” she explains. “And working with the hotline is great, too. You can always reach someone when you have questions.”


What’s next

“As a next step, it would be interesting for us to extend the project to cover HR,” says Catharina Bischoff. “Our aim is actually for everything to be in REISSWOLF f.i.t. sooner or later so we can get as close as we can to being a paperless office.”
